Terms of Service

Version 1.0

Effective 13 October 2026

App accounts, professional services, project responsibilities, fees and disputes.

1. Operator and scope

AutomationFlowLab is operated by AUTOMATIONFLOWLAB (PTY) LTD, company registration number 2026/796103/07, in South Africa. References to “we”, “us” and “our” mean that company. Contact us at Automationflowlab.info@proton.me.

These terms govern automationflowlab.com, the app features made available through it and general use of our professional services. We provide business automation, AI automation, web application development and support, Excel troubleshooting, analytics, Zoho configuration and SharePoint design, as offered and agreed for each engagement.

Please read these terms before creating an account, using a tool or engaging our services. A person accepting on behalf of an organisation must have authority to bind it.

Separate accepted proposals, statements of work and service agreements govern their agreed professional-service scope and prevail over these general terms where they conflict, subject to applicable law.

The Privacy Policy explains processing of personal information. Accepting these terms does not constitute blanket consent to optional marketing or tracking.

2. Eligibility and accounts

The app is intended for adults aged 18 or older and authorised business users. Provide accurate registration information and keep your account secure. Do not share credentials, impersonate another person or access another organisation’s workspace without permission. Tell us promptly if you suspect account compromise.

Your organisation may manage access to its workspace, including permissions and removal of members. Use only the permissions necessary for your role.

If you leave an organisation, do not retain its records, credentials or integrations without authorisation. We may request reasonable information to verify account ownership or authority, without asking you to disclose passwords.

Anyone commissioning services on behalf of a business must be authorised to approve the scope, provide access and accept the relevant agreement.

3. Current app access and professional services

Free self-service app access

AutomationFlowLab’s self-service app and tools are currently free to use. In-app payments and paid app subscriptions are not active. No payment card is required for current free access, and using the free app does not authorise future charges.

Published future app prices, if any, are indicative and do not apply during the free-access period.

If paid app plans are introduced, we will disclose the features, limits, currency, applicable taxes, billing frequency, start date, renewal arrangements and cancellation terms before you choose a paid plan.

You must expressly agree before any charge or app subscription begins. We will not bill retrospectively for free app use. You may decline paid access and stop using affected features.

We will provide reasonable notice of changes that materially restrict existing use and an opportunity to retrieve relevant records where practicable.

Professional services

Professional services are separately quoted and charged under an accepted proposal or service agreement. Online payment functionality is not yet active.

Requesting information, a booking or a quote does not create an obligation to pay.

Professional services begin only after the parties accept a written proposal, statement of work or service agreement. That agreement will specify the scope, deliverables, client responsibilities, fees, payment arrangements, timelines and any applicable support.

Additional work or changes to the agreed scope require written agreement, including any changes to fees or timelines.

Clients must provide the necessary authorised access, information, licences and approvals. Delays in these dependencies may affect delivery dates.

Ownership and licensing of deliverables, confidentiality, acceptance criteria, cancellation, termination and any ongoing support or retainer arrangements are governed by the accepted service agreement, subject to applicable law.

No retainer or recurring service charge begins without agreement.

The current free-access period applies only to the self-service app and tools. It does not make professional services free. Inactive online payment functionality does not remove payment obligations arising under a separately accepted professional-service agreement.

Available app features

Features may include automation tools, spreadsheet checks, requests and approvals, business records, analytics, portals and integrations where enabled. Only features actually available are included.

We may apply reasonable, disclosed capacity limits to protect service availability. There is no guaranteed uptime, response time or recovery objective unless agreed in writing.

4. Content and permitted use

You must have the rights and lawful authority to upload files, use customer or employee records, connect third-party accounts and instruct workflows.

Collect only necessary personal information and provide notices or obtain permissions required by law. You remain responsible for your instructions, recipients, access permissions and business decisions.

For professional projects, authorise access only to the relevant client systems, provide accurate requirements and cooperate with agreed review, testing and approval steps. Any access to production systems and consequential changes must fall within the accepted project scope and permissions.

Do not use the website, app or services for malware, phishing, fraud, harassment, unlawful surveillance, discriminatory decisions, unauthorised scraping, credential theft, spam or unlawful access.

Do not bypass security controls, usage limits or another service’s terms. Do not upload secrets into ordinary forms or support messages.

Test automations with sample data and review outputs before using them in production. Check recipient lists, amounts, source records and approval permissions before sending communications, changing records or running irreversible actions.

Use human oversight for decisions affecting employment, credit, health, legal rights or access to essential services. AI-assisted outputs may be inaccurate and require independent review.

Third-party services have their own terms, permissions and charges. Authorising an integration permits the operations described during connection and configured by you.

Disconnecting an integration may stop future access but cannot undo actions already completed or delete records held independently by that provider. Report unexpected behaviour promptly.

5. Ownership

You retain your rights in your business data, uploads and other original materials.

You grant us a limited licence to host, copy, process and transmit those materials only as needed to provide the requested service, support it, protect it and comply with law. This licence does not transfer ownership or authorise public publication of confidential business records.

We and our licensors retain rights in our software, branding, documentation and original templates. We grant you a limited permission to use the available app for lawful personal or business purposes under these terms. Third-party licences remain applicable.

Ownership of bespoke deliverables, reusable components and source code is determined by the relevant written project agreement.

Client information provided for professional work remains subject to applicable confidentiality and data-processing obligations. Neither party may publish confidential project information or use the other’s name in a case study without appropriate permission.

6. Suspension and ending use

You may stop using the app at any time and request account closure at our contact email. Disconnect integrations and retrieve records you need before closure.

Workspace administrators may remove members within their authority. Requests to delete organisation-owned records require verification of authority.

We may restrict or suspend access where reasonably necessary to address security threats, unlawful activity, material breaches or risks to other users.

Where lawful and practical, we will explain the reason and allow you to respond or correct the issue. Urgent risks may require immediate action. You may request review by emailing us with the account and decision details.

If we discontinue a material feature or the app, we will give reasonable notice where practical and explain available export or retrieval arrangements.

Retention and deletion follow the Privacy Policy and applicable agreements. Closure does not override lawful preservation requirements.

Closing an app account does not automatically cancel a separate professional-service engagement or retainer. Service cancellation, termination, handover and any outstanding fees follow the accepted service agreement and applicable law.

7. Availability and responsibility

Automation may fail, duplicate work, produce incorrect results or be delayed by network problems, permissions, external providers or incorrect inputs.

Keep independent copies of essential records and monitor important workflows. Our tools and technical services do not replace qualified legal, accounting, tax, financial or other professional advice.

We will exercise the care required by applicable law.

To the extent legally permitted, we do not guarantee that the free app will always be uninterrupted, error-free or fit for a particular workflow.

Each party remains responsible for loss legally attributable to its conduct. We are not responsible for losses caused solely by unauthorised instructions, unlawful user conduct or independent third-party failures, except where applicable law places responsibility on us.

Nothing excludes liability that cannot lawfully be excluded, including applicable consumer remedies, fraud, wilful misconduct or gross negligence. No clause requires you to waive mandatory privacy or consumer rights.

A separate negotiated business agreement may define service levels and lawful liability limits. Professional-service deliverables and acceptance requirements are determined by the relevant accepted agreement.

8. Disputes

Please send complaints to Automationflowlab.info@proton.me with relevant dates, the affected feature or service and the outcome requested.

We will investigate and respond within applicable legal timeframes. Contacting us does not prevent you from approaching a regulator or court.

South African law governs these terms, subject to mandatory protections that apply in your country of residence.

Disputes may be brought before a competent South African court, without removing any mandatory right to use a court or regulator available under applicable law. These general terms do not impose compulsory arbitration.

Any separate service-agreement dispute procedure remains subject to applicable mandatory rights.

9. Changes

We may update these terms to reflect changes in the website, app, services or law.

We will publish the revised version and effective date, with reasonable advance notice of material changes where practical. Urgent legal or security changes may take effect sooner.

Where fresh agreement is legally required, we will obtain it. Updating these terms does not authorise new fees or change an accepted project’s scope, fees or payment arrangements without the agreement required for that engagement.
